Administrative assistant and classroom support
About the position
The Administrative Assistant at NOPA Montessori is a dynamic, dual-role position that combines traditional administrative duties with hands-on support in the classrooms. In this role, you will provide administrative support to the Head of School and Assistant Head of School while also stepping into the classroom to support our teaching staff and engage directly with the children. Job Responsibilities
Administrative Support (50% of time):
Staff Appreciation & Community Building: Assist with organizing staff appreciation events, including birthdays, celebrations, and gifts. Support seasonal parent coffee chats, field trips, and campus events.
Admissions & Enrollment: Support the admissions process, including responding to inquiries, maintaining waitlists, assisting with parent info sessions, and organizing classroom tours. Help onboard new families, manage paperwork, create files, and update enrollment records.
Facility Management: Oversee facility maintenance, organization, and cleanliness. Manage school-wide supply orders and inventory, including snacks and cleaning supplies. Ensure the facility is secure and well-maintained after hours. Answer phone inquiries and coordinate tasks for floater staff.
Health & Safety: Maintain a sick bay, manage first aid supplies, and oversee student health needs. Ensure allergy lists and medication records are up-to-date and communicate with families as needed.
General Support: Assist with setting up and cleaning for various school and community events, including parent education events. Provide support for off-campus field trips and outdoor activities. Perform other tasks as assigned by the Head of School and Assistant Head of School
Classroom Support (50% of time):
Substitute in classrooms across the preschool as needed, providing care and assistance to children
When subbing, monitor indoor and particularly outdoor safety: all children are accounted for and routine head counts, attention, proper limit setting and monitoring safety protocols
Help teachers with classroom management, supporting students with their individual needs
Maintain classroom organization and cleanliness to ensure an optimal learning space
Facility Responsibility (4:30-6:00 PM):
Oversee the preschool facility during the late afternoon, ensuring a safe, clean, and organized environment after the Head of School and Assistant Head of School have left for the day
Ensure all children have been picked up and assist with any late departures.
Support afternoon teachers as needed
Lock up and secure the building, checking that all windows and doors are properly closed and locked at the end of the day
Qualifications
Experience working with young children, ideally in an educational setting (preschool, daycare, or Montessori experience a plus).
Strong organizational skills with attention to detail and ability to multitask.
Excellent communication skills, both verbal and written.
Ability to work both independently and as part of a collaborative team.
Flexibility and a positive attitude, with a willingness to take on a variety of tasks.
Ability to maintain confidentiality and handle sensitive information.
High School Diploma or GED
12 ECE Credits (Minimum of 6 units completed and enrolled in 6 additional units)
Love of children and families
Must have oral and written proficiency in the English language
Must complete post-offer, pre-employment physical, provide proof of required vaccinations and TB test
Ability to lift 40 pounds
Criminal and Background Clearance
CPR/First Aid Certification (or be willing to acquire)
Authorized to work in the US (We cannot sponsor visa’s at this time)

Full time Floater ASSISTANT Guide
About the position
NOPA Montessori is seeking to hire a full-time, committed and passionate educator to join our supportive team. The Floater Assistant Guide will work in collaboration with the Lead Guide and classroom team to prepare and maintain the classroom environment, including cleaning, arranging and stocking classroom materials. The Floater Assistant Guide is a crucial part of fostering a loving, supportive, and calm community!
Job Responsibilities
Supervise children between the ages of 1.5 - 6 years old inside the classroom and during three daily park outings
Keep the environment in order: clean, supplied and in good repair
Collaborate and communicate with classroom staff and administration
Support the Lead Guide by observing children and keeping records of their progress
Support children during nap time
Be available for full time work shifts 8:30-5:15 OR 9:15am-6:00pm Monday through Friday.
Qualifications
12 ECE Credits (Minimum of 6 units completed and enrolled in 6 additional units)
Preschool Classroom Experience with children between the ages 2.5 - 6 years old (1+ years preferred)
Experience in a Montessori classroom is a plus!
Montessori Diploma a plus!

Job Responsibilities
Under the direction of the Lead Guide, give lessons according to the Lead Guide’s training
At the request of the Lead Guide, make AMI-aligned Montessori materials for the classroom to be reviewed by the Lead Guide prior to adding them to the classroom environment
Assist in the creation and maintenance of a well-prepared and safe environment for children
Ensure interruptions of lessons or of the work cycle are minimized
Observe children’s behavior and activity and communicate notable observations to the Lead Guide
Assist with other projects, programs and planning as assigned by the Lead Guide (this may include supporting the Lead Guide with photos, tracking, and lessons data entry)
Share the responsibility and supervision of the children during free play times, lunch and rest periods, including the transition and travel to other spaces
Actively engage in mealtime, toileting, and nap procedures to ensure the children’s food, hygiene, and rest needs are met
Treat all children with dignity and respect and in a manner that supports their independence
Collaborate with classroom staff and administration
Qualifications
Association Montessori Internationale (AMI) Diploma for the 3 - 6 years old
